How to create a quotation (3 steps)
- Fill in the seller, the customer, and the list of products or services.
- Set a discount, choose whether to add 7% VAT, and add any notes.
- Create the quotation and get a PDF that is ready to send.
What a quotation needs so the customer can decide quickly
A quotation does more than state a price. A good one lets the customer decide without coming back with questions — and every question is a chance for the deal to stall or slip away. Make sure it includes:
- A document number and date — for reference in later conversations, and the customer's accounts team will need them.
- The seller's name, address, and tax ID — business customers need these to raise a purchase order and to check that you are properly registered.
- Clearly separated line items with quantity and unit price — so the customer can compare with other suppliers and easily drop items they don't want.
- Any discount shown on its own line — it shows the customer what extra they are getting, which works better than quietly lowering the price.
- VAT on a separate line — this prevents confusion over whether the price includes tax, one of the most common sources of disputes.
- A validity date — protects you if your costs rise, and gives the customer a reason to decide.
- Payment terms and delivery time — reduces haggling later.
The tool has a place for each of these; payment terms and delivery time go in the notes field.
Mistakes that lose deals
- Not saying whether the price includes VAT. The customer assumes it does, then the invoice arrives with VAT added and the relationship sours. Showing tax on its own line avoids this.
- No validity date. A customer comes back three months later and insists on the old price even though your costs have gone up. Always state one, for example "valid for 15 days".
- Line items that are too broad. A single line reading "Design work" with one lump sum leaves the customer unsure what they are getting and makes negotiation harder. Breaking it into smaller items with quantities paints a clearer picture and is easier to close.
- Sending it as a Word file. The fonts may break on the customer's computer, or the figures can be edited. Always send a PDF, which is what this tool produces.
Set up once, reuse every time
Your seller details — name, address, tax ID, phone number, and the name of the signer — are remembered on your device. Customer details, the logo, and notes need to be entered each time. The saved details live only in this browser on this device; on another device you'll need to enter them again. As with every tool on this site, your customer and pricing information is never sent to a server, which matters because a quotation is exactly the kind of business information competitors would like to see.
