How to sign a PDF (3 steps)

Are electronic signatures valid?

Many countries have laws recognizing electronic signatures, generally on the principle that a signature isn't invalid just because it is electronic, provided it reliably identifies the signer and shows their intent. Rules vary by country and document, so check what applies to yours. There are different levels:

• Image signature (what this tool does) — a drawn or uploaded picture of your signature on the page. Suits everyday paperwork such as leave requests, quotations, internal letters, and documents between parties who trust each other.
• Certificate-based digital signature — uses cryptographic keys and a certificate from a provider, and can show whether the file changed after signing. Suits high-value contracts, documents that may go to court, or when the other party requires it.

Making an image signature more credible

1. Sign on white paper, photograph it, and remove the background in a photo editor first (MyPDF doesn't do this for you). A real pen signature looks more natural than a mouse-drawn one, and drawing with a finger on a phone beats a mouse. Use a transparent PNG, or draw in the tool, so there's no white box.
2. Add the date next to your signature with Edit PDF, to show when it was signed.
3. Flatten after signing with Flatten PDF, so nobody can easily drag the signature off or edit the text.
4. Identify the signer — type your full name, title and the date under the signature.

Common mistakes

• Sending a file that can still be edited — a movable signature can be moved, deleted or copied onto another document. Always flatten before sending.
• A signature image with a solid white background — it shows as a white box over the text. Use a transparent PNG or draw in the tool.
• Wrong size — aim for two to three times the text height, on the signature line, without covering other text.
• Sharing your signature in chat — a signature image is as valuable as the real thing; never send it on its own or upload it to unknown sites. A drawn signature is used only on that page and isn't stored. If you save it to your account, the image is stored on the server; the PDF still isn't uploaded.

Documents several people must sign

Leases, loan agreements and witnessed receipts often need several signatures. Sign in turn: the first person signs and downloads, sends the file to the next, who opens it here and adds theirs, until everyone has signed. Flatten once at the end. Nobody needs an account, and the file never goes onto anyone's server.
